How to Write an Effective Proposal Letter

How to write an effective proposal letter

If you are looking to get a sponsorship for your channel or vĂdeo, we have a few tips on how you can reach out to the sponsors.

Research
Look for brands that are a good fit for your channel. You need to research the company, their products/services, art style, and everything in betwen. The more you know about the company you are trying to get a sponsorship from, the better you will do when they ask you questions. If you want to learn more about this, check out our other article here.

Have business email
Looking professional is a plus when contacting companies. Sure, there are companies that are very friendly and even informal in their communication, but if you take the professional approach you can't go wrong. Remember, you want them to take you seriously and understand that you have a solid proposal. Small details like having your own business email, also say how serious you are about what you do. This doesn't necessarily mean you need to have an email with your own domain, it just means that instead of reaching out to companies using ImAYouTubeNinja@gmail.com you could use FirstAndLastName@gmail.com.

Structuring your email

Introduction
This should be brief and is meant to introduce yourself, what you do, and what you know about the company.

Structure: Body
The boby of the letter is for you to describe the reason you are contacting them and why you believe a partnership between you and the company would be beneficial for both. This is also where you need to be objective to sell yourself and your channel, so using bullet points about your key marketing strengths is a good option as well. Remember that you are probably just one of many with the same goal when contacting the company, so their time is valuable.

Closing time
To close your letter you can summarize what you said on the body, and that you are looking forward to work with them. Always end in a positive note, while not being too confident or optimistic about your chances.

Sending the letter
Before you do this, make sure to spell check your letter and review it once again to make sure you touched all the important points so you can maximize the chances of a positive reply, if they actually do so. Don't feel bad if they don't, as there may be many reasons for it. Just make sure your letter is not the reason for it, and continue to improve it and update it with the most current information over time.
